Merging prospect profiles can be challenging, but there are key tips to ensure a smooth process.
When merging profiles, if the names differ significantly, WelcomeHome will treat them as two separate individuals, resulting in the creation of a second resident under the primary profile.
However, if the separate profiles share the same contact information—like a phone number or email—WelcomeHome will recognize them as the same person and won’t create a second resident.
For instance, if both John Smith and Mary Margaret have the same email address, merging their profiles will not result in a second resident because the matching email indicates they are the same individual.
By choosing Mary Margaret as the primary, this is the name that will remain on the record after merging.
Additionally, minor name variations or misspellings won’t trigger the creation of a second resident. For example, merging Jane Doe and Janet Doe will not create a second resident, as WelcomeHome will assume they are the same person.
When a Second Resident is Created
If the names are completely different on each profile, two residents will be created upon merging.
If you accidentally create a second resident, you can go to the 2nd resident tab and delete the second resident. Please note that you can only delete a second resident if that person isn't tied to a housing contract.
