WelcomeHome allows you to set up a waitlist for units that are already occupied or unable to be moved into.
How to Add a Prospect to the Waitlist from the Prospect Profile
1. Navigate to the prospect profile and click on the waitlist tab.
Add in the Prospect's desired Care types, Floor plans, and Units, as well as any additional notes. You may select one, or more than one in each field. After adding the desired fields, click "Add to Waitlist".
Once added to the waitlist, the prospect will have a blue "On Waitlist" tag at the top of their profile.
To remove the prospect from the waitlist, go back to the waitlist tab within the prospect profile, and click the red "Remove from Waitlist" button at the bottom of the waitlist tab.
Waitlist Tab (Features and Functionality)
To view all of the waitlisted prospects, go to the "Waitlist" tab under "Occupancy".
The waitlist tab can also be found underneath the Occupancy tab. From the waitlist tab, you can add another prospect, filter your waitlist prospects, and/or complete a bulk action.
To add a prospect to the waitlist from the Waitlist tab, click the green "Add to Waitlist" button in the top right corner.
When adding a prospect to the Waitlist, you have the option to select their Priority position/order on the Waitlist. Select "Add to bottom" or one of the currently occupied positions, which will auto-adjust the replaced prospect to the bottom of the list.
*The first time you use the priority option, you will need to select "add to bottom". This will add your first person as priority #1.
You can filter the Priority list and any other column on the Waitlist by clicking on the header of that column. This will give you an ordered list of for your Waitlist from top to bottom or bottom to top.
*Note: To filter the waitlist, click the "More" button in the top right corner and select the applicable filters for care types, floor plans and/or units. Make sure to check 'Exact Search' if you are trying to isolate your search!
Similar to the Prospects tab, the waitlist tab has the ability to complete bulk actions including logging an activity, scheduling an activity, sending an email or text.
In the left corner of the waitlist tab, select the gray button to toggle on bulk selection of waitlist prospects.
Bulk selecting your waitlist, the list of bulk action options will appear above. Use the +Select all button if the records extend beyond the first page.
Updating or Removing a Prospect from the Waitlist Tab
To update a prospect's waitlist, move them in, navigate to the prospect's profile, or remove a prospect from the waitlist from the Waitlist Tab, click on the 3 dots on the right side of prospect's waitlist line.
These options will show in the dropdown.
- By selecting edit, the "Update Waitlist" module will pop up and you may make any changes to their waitlist.
From here, you can also click the "Remove from waitlist" button to remove them from the waitlist.
- By selecting "Move in", you will be brought to the unit and deposit tab of the selected prospect. Once you have moved them in from the unit and deposit tab, a module will pop up with the option to either leave the prospect on the waitlist or remove them.
- By selecting "Go to the Prospect", you will be brought to the prospect's profile.
*Note: The process is similar when closing a prospect who is also on the waitlist. By default, closing them will also remove them from the waitlist unless you choose otherwise using the checkbox provided during the closing process.
Viewing the Waitlist from the Occupancy Board
Units that have potential waitlist candidates will be displayed from the occupancy tab with a blue waitlist icon next to the unit.
By clicking on the blue waitlist icon, you can view prospects on the waitlist for that could fit for this unit!
Viewing Waitlist Deposits in Reports
The waitlist deposits will now be viewable from the Depositor List Report and managed separately from non-waitlist units.
