1. Using Speech-to-Text on Computer
Tired of typing up notes after a long call or tour? Next time you go to log/schedule an activity, click the microphone icon on the Notes section to record your notes via Speech-to-Text!
You can also utilize this when sending a text or updating the Life Story. To enable this feature, please ensure that you've allowed microphone permissions for WelcomeHome in your browser.
WelcomeHome’s Best Practice: Instead of typing every note and losing potential engagement when on a long call with a potential prospect, jot down some notes then utilize Speech-to-Text to capture those notes in a more efficient way.
2. Utilizing Bulk Emailing/Texting for Segment Based Selling
To make segment-based selling easier, you can utilize our bulk actions to send bulk emails/texts to both prospects and referrers based on a variety of filters available.
WelcomeHome’s Best Practices:
- Filter your prospects by the Cold lead score and New Between (under the More dropdown) a date range from last month. This allows you to target any prospects who may have inquired last month that need a check-in email or text:
- Filter out your referrers who provided multiple referrals in the past and send them an update on some of the new things happening at your community. On the Referrers tab, you can filter by Stage and choose Repeat Referrals to get a list of those referrers:
3. Filtering and Pinning Activities on the Day Planner
Being able to efficiently work through your most important activities for the day is of utmost importance, which is why WelcomeHome makes it easy to prioritize and filter/sort your activities based on a number of factors.
When on the Day Planner, click on the Filter Funnel in the top right to expose these various filters. You can filter and sort based on Assigned User, Prospect/Referrer Score, Individual Prospects/Referrers and even Activity Types.
When you hover over an individual activity, a Pin icon will appear. Click that icon to pin an activity appear at the top of your list. This can help you prioritize your schedule and ensure you don't miss your most important tasks.
WelcomeHome's Best Practices:
- Type your name in the Assigned User box under the filters dropdown. This will filter the Day Planner so that only the tasks assigned to you are shown. Then go ahead and sort by Prospect/Referrer Score. This allows you to focus on any activities tied to a prospect who may be considered a top lead.
- If you have certain activities you want to prioritize, hover your mouse over the activity, and click the Pin icon. This will pin these activities to the top of your Day Planner so you can focus on those those first and foremost. They’ll stay pinned to the top until you complete them!
4. Looking at the Calendar View of the Day Planner
In addition to viewing and working your activities on the Day Planner, the Calendar view is a beneficial way to work activities as well. This view can be found under the Day Planner tab and allows you to view your activities on a weekly, monthly, and list basis. This helps you see what you have scheduled over a longer period of time to help you better manage your day-to-day.
WelcomeHome Best Practice: When looking at the Calendar from a Week view, you can dive into the activities at the bottom of the page (under each day) by clicking on them. So to get a head start on your calls scheduled for the end of the week, you can click on those Call Activities to work them one by one, rather than waiting for them to appear on the Day Planner the day they're due.
5. Minimizing Call Modal to View Profile
Calling through WelcomeHome has its own plethora of benefits (call recording, call transcripts, call summarization, etc). But one helpful call tool is the minimizing feature. By minimizing the call window, you can navigate to the call recipient's profile to view details (like Activities and Life Story) or even make updates to sections like their Traits/Expected Move Timing in real-time while you're on the call and learning more about the prospect.
WelcomeHome Best Practice: During a call, minimize the call window and ask about their Care Needs, Interests and Hobbies, and Decision Criteria. Go ahead and update those dropdowns as you speak with them to both save time after the call is over and make it easier to filter your prospects.
6. Saving Custom Reports
Because the ability to see the metrics that are most important to you is a high priority, WelcomeHome lets you filter reports and save them as new, custom reports! All users can create private reports that save a customized version of a standard report. This tool is helpful for saving custom filters on reports you submit regularly, so you don't have to apply those filters each time you need to pull data.
Simply make the necessary changes to the report, then click the Save option in the top right to create a brand-new report you can view, download or email at any time.
WelcomeHome Best Practice: One of our favorite reports to customize is the Rent Roll report by editing it to show your Vacant Units with Unit Notes. When on the Rent Roll report, simply click More Filters, choose the option to display Only Vacant Units. You then can click Edit Columns to add Notes as an additional column while unchecking other columns that may not be applicable (Move In/Out, Resident, Leased On, etc).
This will now allow you to see a condensed look at only vacant units, why they may be vacant, and what is needed to get the room rent ready from the unit notes.
7. Tracking Notes on Units
The Occupancy Board has many great features to easily track and filter your Current/Future residents. One of our favorite tips is utilizing the Notes feature under each unit to track details about the unit, like unit readiness readiness or maintenance needs.
WelcomeHome's Best Practice: Since notes can be beneficial for team members like the Maintenance Team to see, we recommend adding Notes as an additional column on the Rent Roll. This can be found on the Rent Roll Report under Edit Columns.
8. Incorporating the Mobile App into your Daily Routine
As someone who is most likely on the go a lot, being able to easily track data in WelcomeHome from your phone is the utmost importance.
WelcomeHome’s Best Practice: Use the Mobile App to focus in on any new Web Leads. Once you get notified you have a new Web Lead, use the Mobile App to quickly and effectively reach out to them via text/call/email. All of these are automatically logged into WelcomeHome and allow you to maintain a quick Speed to Lead all from the tips of your fingers.
9. Filtering Referrers by Stages/Scores
External Business Development is becoming more and more important as a terrific source in finding high qualified leads. And we’ve made that process for finding those referrers as simple as possible! On the Referrers tab, use the built-in features like Score and Stages. You can update the scores of any Referrers to better prioritize those providing you qualified leads. Referrer movement through stages is automated based on how you communicate with them and how many referrals they provide.
WelcomeHome’s Best Practice: Take the referrers in the Repeat Referrals stage and mark any that are not only providing you multiple referrals but qualified referrals that are touring and potentially moving in as Hot.
10. Analyzing the Sales Funnel
Did you know that you can quickly get a breakdown of your Sales Conversions, Top Lead Sources and Most Commonly Used Closed Reasons all in one report? When on the Overview tab, you’ll see the Sales Funnel metric towards the right. Simply find a conversion ratio you’re interested in, like Inquiry -> Tour, and click on the Analyze button below it. You’ll then be able to update the date range and apply additional filters to better enhance your findings.
WelcomeHome’s Best Practice: Once you click Analyze, choose a larger date range (ex. Trailing 120 Days). This will allow you to see a bigger picture of which lead sources are providing you quality leads. Scroll down to see which have converted the most and if they have anyone appearing under Not Advanced to Stage / Open. You can click that number to quickly work through those leads one by one or send a bulk email or text to re-engage and get them moving through your sales stages.
