What is a Dynamic List?
Dynamic List is a quick way to convert a filtered view of your prospects or referrers into a permanently saved list. Instead of manually recreating the same filters, you can save your current filtered view in one click. The resulting list automatically updates to always show records matching those criteria.
Key Benefits
- One-click saving – convert your filtered view to a saved list instantly
- No manual setup – all your current filters are automatically captured
- Auto-updating lists – lists always show current data matching your criteria
- Faster workflow – spend less time filtering and more time on tasks
How It Works
When you apply one or more filters to your Prospects or Referrers list, a new button appears: "Save as Dynamic List." Click this button to name and save your filtered view as a list that you can access anytime.
Step-by-Step: Saving Your Filtered List
Step 1: Apply Your Filters
Go to your Prospects or Referrers list and apply the filters you need. For example, you might filter by:
- Community
- Status
- Date range
- Any other criteria relevant to your work
Step 2: Click 'Save as Dynamic List'
Once your filters are applied, the "Save as Dynamic List" button appears to the right of the "Reset Filters" button. Click it.
Step 3: Name Your List
A dialog box appears asking you to name your list. A default name starting with "Copy of" is provided. You can change this to something meaningful for your workflow, like "Q4 Active Prospects" or "High-Value Referrers."
Step 4: Confirm Community Access (if applicable)
Your current community access settings are automatically applied to the list. This ensures the list respects your existing community permissions.
Step 5: Set Permissions (Admins & Regionals Only)
If you're an Admin or Regional, you'll see an additional step to set permissions for the list:
- Only me – only you can see and use this list
- Specific teams – share with designated teams
- Everyone – make the list available organization-wide
By default, permissions are set to "Only me." You can change this when creating the list or adjust it later.
Step 6: Complete & Access Your List
Click 'Save' to finalize. You'll be taken directly to your new list, and it will now appear in your Saved Lists section for quick access anytime.
Understanding Dynamic Lists
What Makes It Dynamic?
Unlike static lists that capture a fixed set of records, dynamic lists automatically update. When you save a filtered view as a dynamic list, the list will always show records matching those criteria—even when new records are added to your system.
For example, if you save a list filtered for "Status = Active," new prospects marked as Active will automatically appear in the list.
What Gets Saved?
When you save a dynamic list, the system captures and preserves your exact filter criteria at the moment of creation. This includes:
- All active filters you've applied
- Filter values and parameters
- Your community access settings
Tips for Success
Use Descriptive Names
Give your lists names that clearly describe their purpose. "Q4 Pipeline" is more useful than "List 1." This makes it easy to find the right list later.
Create Lists for Your Common Workflows
Think about filters you apply repeatedly. Save those as dynamic lists to save time and maintain consistency across your team.
Share Strategically (Admins & Regionals)
If you create a useful list, consider sharing it with your team. This ensures everyone is working from the same criteria.
Access Your Lists Anytime
Your saved lists appear in the Saved Lists section. You can use them to quickly view filtered data without reapplying filters each time.
Frequently Asked Questions
Can I edit a dynamic list's filters after creation?
Yes. You can open a saved dynamic list and modify its filters as needed. The changes will be applied to how the list displays data going forward.
What's the difference between a dynamic list and a static list?
Dynamic lists update automatically as new records matching your criteria are added to your system. Static lists capture a fixed snapshot of records at the time of creation. Use dynamic lists for ongoing workflow needs and static lists for capturing specific point-in-time data.
Can I rename a saved dynamic list?
Yes. You can rename your dynamic lists anytime by accessing them in the Saved Lists section and selecting edit options.
Do I need MAP (Marketing Automation Platform) enabled?
No. The Save as Dynamic List feature is available to all users. However, to use dynamic lists in marketing automations or campaigns, MAP must be enabled on your account.
Can I delete a dynamic list?
Yes. You can delete any dynamic list you create. If you've shared it with others, consider notifying them before deletion.
