If a prospect is no longer going to be moving in or reserving a unit, you can cancel a deposit that has been logged in WelcomeHome on the Unit & Deposit tab within the Prospect Profile
Your Unit & Deposit tab may be separated and look differently than what is shown in the below screenshot(s). If that is the case, please click the link here to understand the Unit, Deposit & Refunds workflow.
*Note: If they already have a Unit selected in WelcomeHome you will first need to cancel the move-in.
How to Cancel a Move-In
1. Navigate to the Occupancy tab on the left-hand side of the screen and click on "Residents" from the submenu that appears.
2. Search for the name of the "future resident" you'd like to cancel a move-in for and click on their name once you see them. On the right side of their Resident profile, you will see their "future housing contract" that will give you the options to "Change Move In" or "Cancel Move In". You'll need to select "Cancel Move In".
3. You will be prompted to confirm the cancellation by clicking the blue "Yes, Cancel Move In" button in the bottom right.
Once you have done this, your scheduled move-in/reservation will be canceled, and you will be brought back to the Prospect profile. You are now ready to move forward with canceling the deposit!
How to Cancel a Deposit
1. Click on the Prospects tab on the left-hand side of the screen.
2. Click on the name of the Prospect you need to cancel the deposit for.
3. Click into the Unit and Deposit tab and clear out all Deposit information. Click the blue “Update" button at the bottom to save.
Some communities may have to complete the two additional steps below, otherwise skip to Step 6:
4. Now, click the Activities tab, Find the activity titled "Collect Deposit" or “Deposit or CF Collection” and click on the small pencil icon to the right of this activity to edit.
5. Go to the Result drop-down and select “Cancelled”. Press the blue “Save” button at the bottom.
6. Lastly, on the Prospect summary tab, you can manually revert the sales stage back. If they are currently showing in the “Deposit” stage, click the stage button prior (in this case, it would be Post-Tour) to revert the Prospect back to the stage they need to be in. Select "Ok" when asked if you are sure you want to revert.
