The Overview page in WelcomeHome is a great way to see all of your community's metrics in one place.
Your Overview may look slightly different, but this highlights all possible inclusions on the Overview Page!
Starting at the top left, you can see your Occupancy Rate. This number can be seen as a percentage or as a number.
Next you will see the New Inquiries (Month to Date) card which shows how many new leads you received this month. It will be integrated with your webforms and aPlaceforMom.com and Caring.com, so that any new leads that come in through WelcomeHome or those integration software will automatically be seen here. This number will reset to 0 on the first day of each month.
To Note: You will have the ability to access a dropdown for varying timeframes by clicking on "MTD." A list of options will appear, allowing you to choose from Trailing 30, Trailing 60, and Trailing 90 days.
It's important to remember that ANYONE that comes in this month will stay on this report, even if they move in within the same month.
The Top Inquiries card indicates how many "top score" leads you have. WelcomeHome automatically scores leads, however you also have the ability to override leads at any time.
The card titled Prospects w/o Next Activity shows how many active prospects in your database do not have any next steps scheduled. Ideally, you would like this number to be zero.
To the left corner of Prospects w/o Next Activity, you can choose to toggle to see the Prospects w/ Next Activity.
The Past Due Activities is also a number you would ideally like to keep as close to zero as possible. This card indicates how many activities were due yesterday or before that have yet to be completed. Clicking 'view all' on any of these boxes will open them.
Next you will find the Speed to Lead (Month to Date) card. This indicates how quickly you are accepting, rejecting, or making initial contact with new prospects in the system. Automated messages triggered by WelcomeHome that auto-send will not stop the Speed to Lead clock. You can calculate these numbers by any day or by business hours (just working hours). *You may get a negative number as your average if you start responding out of business hours.
The Uncontacted Prospects card shows how many prospects have not been contacted.
Downgrade Risk provides a point of interest for any potential prospects that are in the adverse risk of dropping from one score level to the next within the next 24 hour, 48, hour, or 72 hour time-frame.
The Score Changed represents if a prospect's score has been changed automatically or manually within the past 24 hour, 48 hour, or 72 hour time-frame.
Referrers w/o Next Activity indicates how many referrers in your system do not have a next step scheduled.
The Activities vs. Goal (Month to Date) card indicates how many activities of each type are due each month. Goals will reset on the first of each month and are separated into Prospect Goals and Referrers Goals. The black line shows where you should be in order to reach your end of month goal. The blue indicates where you are today for that activity. The numbers at the end of the activity bar indicate the goal.
These are not the only activities you may be expected to complete. Seen here, there's no "email" task for prospects: your emails are not going to track on this page, but you should still be doing them!
Next is the Sales Funnel which shows you how your new leads are moving through the sales channels.
Inquiry is when they have inquired but you haven't been able to successfully connect with them.
Pre-Tour is someone you have connected with or has scheduled a visit.
Post-Tour is someone who has completed a tour with you.
Deposit is when they submit their deposit
Move-In is when the prospect moves in.
Conversion ratios from one stage to the next appear next to the funnel. You are able to filter your conversions by clicking the drop-down arrow next to Sales Funnel: month to date, trailing 30 days, trailing 60 days and trailing 90 days.
MIs/MOs This Month indicates how many move ins and move outs you have for the month. You can click the dropdown to view Scheduled Pending, which shows individuals with a future move-in date, or All Pending, which includes those with a housing contract but no set move-in date. Selecting View Details will display a list of individuals rather than just occupancy counts.
Finally, Prospects by Stage (All Open Prospects) is where you can see what stage all of your open prospects are in.
Additionally, in the very bottom right of the screen you will see a green circle that allows you to add a new prospect or referrer conveniently from any page on WelcomeHome as well as a blue button that allows you to schedule an activity or log an activity.
These buttons will not appear if you have not selected your community at the top where it says "All Communities"
