The bulk email feature allows you to send an email to multiple prospect contacts or referrer contacts at the same time, such as a marketing email or invitation to an event.
- Click the top check box within the prospects or referrers section of WelcomeHome, then click "Email."
*Note- if you want to send the bulk email to a targeted group of people based on stage, lead source, or any other factor, filter your prospect or referrer list first before checking off the top square. These filters will be respected when pulling through the contacts. - Clicking the top check box will select the visible prospects or referrers on the screen. However, you do have the ability to select all by clicking the green "Select all" button. You also have the ability to select and deselect individual prospects or referrers to pull a more specific list.
- Choose Recipients
The bulk email recipient options for prospects are: individual prospects, influencers, and primary contacts. The bulk email recipient options for referrers are individual referrers.
For prospects, you can toggle on/off all prospects, all influencers, and/or all primary contacts. You also have the option to toggle on or off individual contacts. For referrers, you can toggle on/off individual referrers.
- Edit Message
Type a one-off email or select a message template from the dropdown at the top. When selecting a message template, edits can still be made before sending the message. Add attachments as needed by clicking the link at the bottom.
** Use merge fields to make your messages sound personalized. Start typing {{ and a series of merge fields options will populate that you can use. For example, using the merge field {{first_names}} to pull the first names into the email you send.
*Note- Admins can choose to send a bulk email as another user. If you'd like to change who the email is coming from, click on the arrow to the right of the "from" field. Here you can select who the email is coming from.
You can further customize your text by using the buttons that are right below the subject line. Change the font, text size, text color, highlight and indent your text.
Additionally, use the following buttons to insert an image, insert a link, insert an attachment from your computer, or insert an attachment from the knowledge center.
5. Schedule or Send Now Schedule whether you would like to send the bulk email Now or if you would like to Schedule a future date or time to send the bulk email. If you want to send the bulk email Now, make sure the Now is toggled on and then click next.
If you decide to Schedule a future date or time to send the bulk email, toggle to Schedule. Once you have selected Schedule, WelcomeHome will then prompt you to fill in the desired Date and Time that the bulk email should be sent, after these fields are filled in click next.
6. Review
Review the recipients and the message. If everything looks good, click “Schedule Emails”.
Note: If you decide to send the bulk email Now, Review the recipients and the message. If everything looks good, click "Send". Once sent, there will be a completed email activity on each recipient's record!
