Our Resident Resolution Center is here to help with resident duplication issues caused by integrations. The below steps will show you how to use this feature.
Why would a resident need to be resolved?
If a resident record is synced to your EMR and then changed in that system (ex: I send John Smith over to the EMR and then it is updated to his legal name, Jonathan Smith), Some EMRs will push that back to WelcomeHome as a new resident, which leads to duplication on the occupancy board and inaccurate occupancy numbers. In addition, resident records could be created manually in the EMR system, which then leads to that record coming over to WelcomeHome as a duplicate.
How does the Resolution Center help?
WelcomeHome will take those records that your EMR is attempting to create and put them in the Resolution Center. It will give you the opportunity to match the new record with an existing prospect record before it hits the occupancy board as a new resident.
1. The resolution center will live under the “Occupancy” tab on the left-hand navigation bar.
2. If you have a resident that needs to be matched to a current prospect, there will be a red notification icon to the right of the Occupancy and Resolution Center with a number indicating how many residents need to be resolved.
3. Once you click into the Resolution Center, you will see a list of residents who need to be matched with current prospect records. These must be resolved to ensure the integration is working correctly.
4. Click "Resolve" to the right of the resident and a modal will pop up.
5. WelcomeHome will automatically search for an existing record that matches the unresolved resident’s name. You will also be able to edit this search if it does not produce the correct results.
6. Once you have found the existing matching record, click “Match”, this will then be resolved.
7. If you cannot find a match, you can click “Create New Resident” and it will add this new resident as a record in WelcomeHome and they will be added to the occupancy board (this should not happen frequently if at all).
