Visual email templates let you design branded, professional emails for campaigns, newsletters, and bulk sends with full control over layout and content. Once created, you can reuse them across your marketing efforts and personalize them for each recipient.
Before You Start
Visual email templates are available only if your WelcomeHome account has WelcomeHome enhanced enabled. If you don't see the option to create visual templates in your settings, contact your account administrator.
Step 1: Create a New Template
- Go to Global Settings > Message Templates.
- Click Create New Template.
- Select Visual Email Template from the template type options.
- Enter a Template Name (for example, "Community Newsletter" or "Tour Thank You").
- Click Next.
Step 2: Select Advanced Option to Import HTML
Select the option to Import the HTML.
Step 3: Copy/Paste HTML into the <html> section
Import the HTML.
Step 4: Add Merge Fields to Personalize Content (If applicable)
Merge fields automatically insert customer information—like names, account details, or community names—into your emails. This makes each email feel personalized and increases engagement.
- In the HTML editor, position your cursor where you want the merge field to appear.
- Type {{ to open the merge field menu.
- Select the field you want to insert (for example, {{firstName}}, {{lastName}}, or {{accountName}}).
- The merge field will automatically be replaced with the actual data when the email is sent.
Best practice: Use merge fields throughout your template—even a simple "Hi {{firstName}}" at the start makes emails feel personal and increases open rates.
Step 4: Finalize Your Template
- When you're happy with your email design, click Finalize.
- You'll be taken to the Edit Visual Email Template page.
Step 5: Configure and Save Your Template
- Set an Email Subject line for your template. This is what recipients will see in their inbox.
- Under Template Usage, decide where this template can be used:
- Leave blank if you want the template available for viewing and editing only
- Select specific campaigns or workflows to make it available for sending
- Click Save.
Your template is now ready to use in your marketing campaigns, automations, and bulk sends.
Tips for Success
Best practice: Test your HTML before uploading to make sure all formatting, links, and images render correctly across different email clients (Gmail, Outlook, Apple Mail, etc.).

Best practice: Keep your email design simple and mobile-friendly. Many customers open emails on phones and tablets, so avoid wide layouts and large images that don't scale.
