PointClickCare (PCC) is an Electronic Medical Records (EMR) billing system that your operator can use to share resident information with WelcomeHome. The information shared will be related to their resident information and status, which can be grouped in three categories of Admissions, Discharges and Transfers (ADTs). Once integrated, information will flow bi-directionally between PCC and WelcomeHome.
Syncing & Making Changes with PointClickCare
As discussed in the EMR Overview article, you can sync a prospect to PointClickCare only once. WelcomeHome requires the name, birthdate, and gender to sync, but we recommend adding in as much information as you can and waiting until the move-in details are confirmed before syncing. This is important to keep in mind when you have multiple people on one profile. If you sync an individual, then go in and add a partner or spouse, you will not be able to sync again to include that person. Again, it is best practice to wait until you have all the information confirmed for all parties before you sync.
Once synced, you'll want to make all changes in PCC and allow that information to push over to WelcomeHome. All ADT events created in PCC will automatically update in WelcomeHome so you can see those changes reflected within a few minutes. Depending on the event, you may see the change reflected in the Resident History, the Housing Contract, and/or on the Occupancy Board.
Once an individual is synced, you'll be able to view information sent over from PCC by going to their Resident Profile and clicking on PointClickCare ADTs. Here you'll see all the unit change information WelcomeHome has received and reflected in the occupancy board. This is a great place to check for any discrepancies on someone not appearing how you'd expect them to in WelcomeHome. One thing to note is that an ADT event already received by WelcomeHome will not update if you make changes to it within in PCC. A new ADT event needs to be created for a change to be reflected in WelcomeHome.
You can also view their current status in PCC from WelcomeHome by going to their Resident Profile and clicking on Resident Settings. From there, you'll see their Patient ID, last sync date and time and a link to View PCC Resident Data. This is a great place to check for any discrepancies on someone not appearing how you'd expect them to in WelcomeHome.
Finding a resident
When a resident is initially synced, a resident profile will populate in PCC where all ongoing changes need to be made. The new resident can be found in either Admin or Clinical -> Residents -> External Pending. From this location, the PCC admin will be able to review the new resident’s information and accept. Then, information relating to the first ADT sync may be entered if not already present.
Each resident will also have a PCC code that is used to share the information from PCC with WelcomeHome. Our Support team is able to update this code for you if they don't match due to an additional profile being created in PCC. To do this, you'll contact our team and provide the correct code for us to change. You can find this by going to the Resident Profile and selecting the number in the URL bar after ClientID= at the end of the URL. This will typically be a 6 digit number.
