Vitals is an Electronic Medical Records (EMR) billing system that your operator can use to share resident information with WelcomeHome. The information shared will be related to their resident information and status, which can be grouped in three categories of Admissions, Discharges and Transfers (ADTs). Once integrated, information will flow bi-directionally between Vitals and WelcomeHome.
Syncing & Making Changes with Vitals
As discussed in the EMR Overview article, you can sync a prospect to Vitals only once. WelcomeHome requires the first name, last name, care type, and home phone number to sync, but we recommend adding in as much information as you can and waiting until the move-in details are confirmed before syncing. This is important to keep in mind when you have multiple people on one profile. If you sync an individual, then go in and add a partner or spouse, you will not be able to sync again to include that person. Again, it is best practice to wait until you have all the information confirmed for all parties before you sync.
For Vitals, you'll have to enter in this required information for everyone on the profile, including second residents. You also want to make sure that you are entering the phone number in the home phone number field for the primary and (if applicable) second resident. You will not be able to sync if you enter this information in the cell phone field.
Once synced, you'll want to make all changes in Vitals and allow that information to push over to WelcomeHome. All ADT events created in Vitals will automatically update in WelcomeHome so you can see those changes reflected within a few minutes. Depending on the event, you may see the change reflected in the Resident History, the Housing Contract, and/or on the Occupancy Board.
Once an individual is synced, you'll be able to view information sent over from Vitals by going to their Resident Profile and clicking on Vitals ADTs. Here you'll see all the unit change information WelcomeHome has received and reflected in the occupancy board. This is a great place to check for any discrepancies on someone not appearing how you'd expect them to in WelcomeHome. One thing to note is that an ADT event already received by WelcomeHome will not update if you make changes to it within in Vitals. A new ADT event needs to be created for a change to be reflected in WelcomeHome.
Finding a resident
When a resident is initially synced, a resident profile will populate in Vitals where all ongoing changes need to be made. All prospective residents are sent to Vitals with a Decision Status of RESERVATION (Apartment Reserved).
These leads can be found in the lead search page by searching that Decision Status. WelcomeHome has the ability to send email notifications to the clinical team informing them of the new prospect in Vitals. The user will perform the move in process as they normally would in Vitals today. Once complete, the Prospect Summary within WelcomeHome will indicate that the sync is active.
