ALIS is an Electronic Medical Records (EMR) billing system that your operator can use to share resident information with WelcomeHome. The information shared will be related to their resident information and status, which can be grouped in three categories of Admissions, Discharges and Transfers (ADTs). Once integrated, information will flow bi-directionally between ALIS and WelcomeHome.
Syncing & Making Changes with ALIS
To sync to ALIS, you'll need to enter in the first name, last name, birth date, and care type or unit. Once a resident from WelcomeHome is synced, the button will change to say “Re-Sync to EMR.” If this button is pushed, the existing data in ALIS will be overwritten if it was changed in WelcomeHome. Please note, this button does not update anything regarding occupancy changes! Those updates need to be made in ALIS after the initial sync.
*Note: Operators can select if a unit is sent over or not during the initial sync. If you notice this missing when you sync a prospect, talk to your regional or admin about how to add in the unit information into ALIS
You'll want to make all changes in ALIS after syncing and allow that information to push over to WelcomeHome. All ADT events created in ALIS will update in WelcomeHome within minutes.
Once an individual is synced, you'll be able to view information sent over from ALIS by going to their Resident Profile and clicking on ALIS History. Here, you'll see all the unit change information WelcomeHome has received and reflected in the occupancy board. This is a great place to check for any discrepancies on someone not appearing how you'd expect them to in WelcomeHome.
Here are the changes that ALIS will send to WelcomeHome and the resulting changes they will make:
- Resident Room Assigned AND Resident Room Changed
- Assigns the current housing contract OR a new housing contract’s unit and move in date
- Note: If just the room is unassigned, that ADT will be ignored
- Resident Move In
- Attempts to find an existing housing contract by move in date or unit OR it will create a new housing contract if one can't be found
- Resident Move In Out Info Updated
- Updates the current housing contract move in or move out date
- Resident Leave End and Resident Leave Start
- Updates the resident’s on leave status in WelcomeHome
- Resident Move Out
- Sets the move out date on the housing contract
Finding a resident
When a resident is initially synced, a resident profile will populate in ALIS where all ongoing changes need to be made. To find the profile, you will go to the Residents tab and select All Residents.
Once there, you will have an Applicants tab where the new profile will be. You can view the profile, move them in or reject it. After you click the Move In button, ALIS will prompt you to confirm move-in dates and the resident's room assignment. When you click the Yes button, the profile will be live on your Current Resident census.
You will make all ongoing changes for the resident in their ALIS profile and those changes will push over to WelcomeHome within a few minutes.
