MatrixCare is an Electronic Medical Records (EMR) billing system that your operator can use to share resident information with WelcomeHome. The information shared will be related to their resident information and status, which can be grouped in three categories of Admissions, Discharges and Transfers (ADTs). Once integrated, information will flow either one way or bi-directionally between MatrixCare and WelcomeHome, depending on the type of MatrixCare EMR your operator has.
Syncing & Making Changes with MatrixCare
What is required to sync will vary based on the MatrixCare product and optional requirements your community has:

MatrixCare LPC
- One-way push from MatrixCare to WelcomeHome
- No sync button on WelcomeHome profiles

MatrixCare Marketing
- One-way push from WelcomeHome to MatrixCare
- Requires first name, last name, and at least one contact method (email, phone, or address)

MatrixCare SNF
- Bi-directional between WelcomeHome and MatrixCare
- Standard requirements are first name, last name, birthday, and unit number
- Communities can opt in to also require social security numbers and state abbreviation (ex. FL)
As discussed in the EMR Overview article, you can sync a prospect to MatrixCare only once, and these fields will be required for all prospects on the profile. This is important to keep in mind when you have multiple people on one profile. If you sync an individual, then go in and add a partner or spouse, you will not be able to sync again to include that person. Again, it is best practice to wait until you have all the move-in information confirmed for all parties before you sync.
You'll want to make all changes in MatrixCare and allow that information to push over to WelcomeHome, which will happen within a few minutes. For some operators, the ability to make changes in WelcomeHome will be greyed out once synced as a reminder to make updates within MatrixCare to push over. MatrixCare will send over ADT records whenever something changes on their end. At that point, WelcomeHome looks for a matching resident in the system, first by the MatrixCare ID and, if no resident is found with a matching ID (e.g., because it was imported and therefore does not have a MatrixCare ID), WelcomeHome will then try to match by the resident by name. If that fails, they’ll be pushed to the Resolution Center.
Once an individual is synced, you'll be able to view their current status in MatrixCare from WelcomeHome by going to their Resident Profile and clicking on MatrixCare ADTs. From there, you'll see their all the ADT information that's been sent over to WelcomeHome. This is a great place to check for any discrepancies on someone not appearing how you'd expect.
Finding a resident
When a resident is initially synced, a resident profile will populate in MatrixCare where all ongoing changes need to be made. You will then make all future updates in MatrixCare and allow those updates to get pushed over to WelcomeHome.
